Job Description

We are seeking a passionate and detail-oriented Event Marketing Coordinator to help drive the success of our global event marketing program. In this role, you'll play a key part in executing virtual and in-person events, ensuring smooth logistics, and providing exceptional experiences for attendees. You will coordinate with internal teams, vendors, and venues to create memorable events that support our broader marketing objectives.

Key Responsibilities:
Event Logistics & Execution

Manage the complete logistics for virtual and in-person events, including webinars, trade shows, and customer events.
Maintain detailed project timelines, checklists, and other necessary documentation to keep all events on track.
Coordinate with vendors, venues, and internal stakeholders to ensure timely delivery of all event requirements.
Assist in the execution of events, both onsite and virtually, ensuring everything runs smoothly.

Program Support

Help create and maintain event budgets, track expenses, and ensure events are within budget.
Manage event registration processes, communicate with attendees, and ensure they have a seamless experience.
Ensure proper lead capture and accurate data entry into marketing systems.
Assist in the creation and distribution of event materials and promotional content.
Manage logistics for speakers, including travel arrangements and presentation materials.

Administrative & Reporting

Maintain a comprehensive event calendar and all related documentation.
Manage event marketing inventory and supplies to ensure all materials are ready for each event.
Coordinate internal event planning meetings to ensure proper alignment across teams.
Process invoices and maintain accurate budget tracking for each event.
Create post-event recap reports and analytics summaries to evaluate success and gather insights.

Required Skills and Experience:
2+ years of experience in event coordination.
Proficiency with marketing automation and CRM systems.
Strong written and verbal communication skills.
Ability to travel up to 30% for event execution.
Exceptional attention to detail and organizational skills.
Experience with project management tools (e.g., Monday.com).

Preferred Qualifications:
Familiarity with virtual event platforms and webinar technology.
Experience in B2B marketing or the technology industry.
Knowledge of Marketo and Salesforce is a plus.
Experience in basic budget management and vendor coordination.

Education Requirements:
Bachelor's degree in Business, Marketing, Communications, or a related field, or equivalent experience.
