Job Overview:We are seeking a highly organized, resourceful, and adaptable Virtual Assistant to provide comprehensive support to our team at Greentown House. This individual will play an essential role in streamlining operations, managing administrative tasks, and assisting with day-to-day functions to ensure the smooth running of our company. The ideal candidate is a self-starter with strong communication skills and a passion for contributing to a forward-thinking, eco-conscious organization.
This is a remote position, and candidates must be comfortable working independently and managing multiple tasks efficiently in a digital, virtual environment. We offer a flexible work schedule, so weâre open to full-time, part-time, or freelance arrangements.
Key Responsibilities:Administrative Support:
Manage and organize calendars, meetings, and appointments for the executive team.
Handle inbound and outbound correspondence, including emails, phone calls, and messages.
Schedule and coordinate virtual team meetings, events, and conferences.
Maintain filing systems (digital and physical) and ensure records are organized and easily accessible.
Assist in preparing and proofing reports, presentations, and other documents.
Project Management:
Collaborate with different departments and teams to track progress on key projects.
Set up task management systems (e.g., Asana, Trello) and ensure deadlines are met.
Monitor project timelines, communicate updates to team members, and assist with task prioritization.
Customer Support & Engagement:
Handle customer inquiries via email, chat, and phone, providing exceptional service.
Track and respond to feedback on social media platforms, emails, and other channels.
Assist in the coordination of online events and webinars for community engagement.
Social Media & Content Support:
Assist in content creation for social media platforms (e.g., Instagram, LinkedIn, Twitter).
Manage content calendars, coordinate posting schedules, and track social media analytics.
Support the creation of blogs, newsletters, and other marketing collateral.
Finance and Operations Assistance:
Help with data entry, invoicing, and basic financial record keeping.
Assist with payroll coordination, expense reporting, and vendor management.
Track inventory of office supplies and order supplies as needed.
Sustainability Initiatives:
Support the development and execution of sustainability-related projects and initiatives.
Research eco-friendly products and practices for business improvement.
Help create educational materials and resources on sustainable living for employees and clients.
Additional Tasks:
Any other tasks and duties as assigned by the team or leadership to ensure the smooth operation of the company.
Proven experience as a Virtual Assistant, Administrative Assistant, or in a similar role.
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Familiarity with project management tools (Asana, Trello, etc.) and Google Suite (Docs, Sheets, Drive).
Proficiency with Microsoft Office (Word, Excel, PowerPoint) and other relevant software tools.
Ability to prioritize and manage time efficiently in a fast-paced environment.
Strong attention to detail and a proactive approach to problem-solving.
A passion for sustainability, green living, and eco-friendly initiatives.
Experience in social media management and content creation is a plus.
Knowledge of basic finance tools and systems (QuickBooks, Google Sheets) is a plus.
Experience working with remote teams and clients.
Basic graphic design skills (Canva, Adobe Suite).
Understanding of SEO and online marketing techniques.
Prior experience in customer service or client relations.
Familiarity with sustainability certifications, eco-friendly products, or green tech solutions is a bonus.
