- The Global Compound Logistics and Operations organization (GCLO) within the company manages the inventory, dispersal and logistics of biological and chemical entities used by Discovery and Development scientists for all aspects of Company drug discovery.
- Seeking a highly organized and detail-oriented individual to join our team as a Shipping Coordinator to support our ShipIt platform in Worcester, MA. The primary responsibility of this role is to oversee and manage the shipment of materials from client to various sites and collaborators.
- The Shipping Coordinator will play a crucial role in ensuring the timely and efficient delivery of materials, while adhering to all relevant regulations and guidelines.
Responsibilities:
- Coordinate and manage the shipment of materials from client to other sites and collaborators, ensuring compliance with all applicable regulations and guidelines.
- Prepare and review shipping documents, including bills of lading, shipping labels, and customs documentation, to ensure accuracy and completeness.
- Collaborate with internal teams to ensure proper coordination and execution of shipments.
- Communicate with internal and external partners, including freight forwarders and carriers, to schedule and track shipments, ensuring on-time delivery.
- Maintain accurate records of all shipments, including tracking numbers, delivery confirmations, and any relevant documentation.
- Monitor and manage inventory levels of shipping supplies, such as boxes, labels, and packing materials, ensuring adequate stock is maintained.
- Identify and resolve any issues or delays in the shipping process, working closely with internal and external stakeholders to find timely solutions.
- Stay up to date with relevant shipping regulations, guidelines, and industry best practices, ensuring compliance and continuous improvement.
- Assist in the development and implementation of shipping-related policies, procedures, and standard operating protocols. Provide regular reports and updates to management on shipping activities, including metrics, performance, and any potential risks or opportunities.
Requirements:
- BS degree, 3-5 years of experience in biologics sample processing or a related field.
- Proven experience as a Shipping Coordinator or similar role, preferably in a pharmaceutical or biotechnology industry.
- Accustomed to spending extended periods of time working in a bio-hood.
- Strong knowledge of shipping regulations, including domestic and international requirements, customs procedures, and hazardous materials handling.
- Proficient in using shipping software and systems, such as FedEx, UPS, or DHL, to schedule and track shipments.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Attention to detail and accuracy, ensuring all shipping documents and records are complete and error-free.
- Effective communication and interpersonal skills, with the ability to collaborate and build relationships with internal and external stakeholders.
- Problem-solving and decision-making abilities, with a proactive approach to identifying and resolving shipping-related issues.
- Proficient in using Microsoft Office Suite (Word, Excel, Outlook) and other relevant software applications.
- Ability to lift and move heavy packages, as required.
- Independent, take leadership, well organized, juggle or manager.
