We are working with a leading private equity firm to hire a professional, resourceful Executive Assistant to support a senior investment team. This is a high-visibility role that requires strong organizational skills, excellent judgment, and the ability to operate effectively in a fast-paced, deal-driven environment. The ideal candidate is dependable, proactive, and takes pride in delivering exceptional work.
Key Responsibilities
Executive & Team Support
Provide administrative support to senior investment professionals
Manage complex calendars and scheduling across multiple time zones
Coordinate internal and external meetings with investors, advisors, and portfolio companies
Prepare meeting materials, presentations, and briefing documents
Handle expense reports, approvals, and internal documentation
Deal & Pipeline Coordination
Support tracking of investment activity and meeting follow-ups
Maintain accuracy of documents and deal files
Assist with CRM/database updates related to contacts, meetings, and deal notes
Help prepare materials for due diligence, investment committees, and portfolio reviews
Logistics & Communication
Arrange detailed domestic and international travel
Serve as a professional point of contact for internal and external stakeholders
Draft and manage internal communications and team coordination
Support occasional team events, offsites, and investor meetings
Qualifications
3+ years of experience as an Executive Assistant, preferably in private equity, venture capital, investment banking, or financial services
Bachelor’s degree preferred
Strong time management and organizational skills with the ability to manage shifting priorities
Confident communicator with strong writing and interpersonal skills
High attention to detail, reliability, and a strong sense of ownership
Ability to handle confidential information with discretion
Proficient in Microsoft Office Suite; experience with CRM systems (Salesforce, DealCloud, Affinity) a plus
Compensation & Benefits
Base salary: $80,000 – $125,000, depending on experience
