The Remote Document Control Clerk is responsible for organizing, maintaining, and updating company records and compliance documents across Anytime Fitness locations. This role ensures that all documentation—such as contracts, employee files, membership agreements, policies, and compliance certifications—is accurate, current, and securely stored. The ideal candidate is highly organized, detail-oriented, and able to manage sensitive information with professionalism and confidentiality.

Key Responsibilities

Document Management & Organization

Create, maintain, and update digital filing systems for all operational and compliance documents.

Ensure all documents are properly named, categorized, and archived according to company standards.

Track document versions, revisions, and approval statuses to ensure accuracy and compliance.

Retrieve and distribute documents promptly upon request from management or franchise locations.

Compliance & Quality Assurance

Support compliance audits by providing accurate documentation and record verification.

Ensure all required certifications, licenses, and franchise documentation are up to date.

Verify that documents meet internal and external compliance requirements.

Assist in the preparation and submission of reports for regulatory or corporate reviews.

Communication & Coordination

Collaborate remotely with club managers, HR staff, and corporate departments to maintain accurate records.

Notify relevant teams of upcoming document expirations, renewals, or required updates.

Provide administrative support for remote onboarding or documentation of new franchisees or staff.

System & Data Management

Use document management software (e.g., SharePoint, Google Workspace, DocuSign, or internal CRM tools).

Protect confidential and proprietary information according to data security protocols.

Suggest improvements to digital storage systems or documentation workflows.

Requirements

Education & Experience:

High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.

1–2 years of experience in document control, Data entry related, records management, or administrative support (remote experience a plus).

Experience working with fitness, franchise, or multi-location businesses preferred.

Skills & Competencies:

Excellent attention to detail and organizational skills.

Strong written and verbal communication skills.

Proficiency with Microsoft Office, Google Workspace, and file management systems.

Ability to prioritize tasks and meet deadlines in a remote work environment.

High level of integrity and commitment to confidentiality.
