Convenings & Events Coordinator Location Milwaukee, WI :

Bader Philanthropies seeks a full-time Convening & Events Coordinator responsible for planning, coordinating, and supporting convening activities to carry out the Foundation's mission to help people and honor the legacy of our founders. This position reports to VP-Administration and interacts closely with all Foundation departments to design and deliver meetings, events, and other activities that convene Bader Philanthropies' partners.

RESPONSIBILITIES

  • Provides coordination and support for all event and convening activities (on- and off-site) including travel and space arrangements, a/v, catering, attendee management, coordinating preparation of supporting materials and other communications assistance, security, parking, supply procurement, etc.
  • Coordinates all foundation teams, vendors, and external consultants to ensure program deliverables are high quality and meet the needs of all stakeholders.
  • Represents the foundation in a professional and respectful manner when liaising with community partners on meetings and events.
  • Supports the preparation of invoices and payments and coordinates and validates reporting requirements in collaboration with the Financial Administrator.
  • Develops and maintains convening processes and procedures in Bader 360 database of protocols.
  • Works with the Operations Director on coordination and support for Board meetings.
  • Works with Strategy & Culture department to support Bader Leadership Institute events, and other staff events and staff development activities.
  • Supervises Operations Interns.

QUALIFICATIONS

  • 2+ years' experience in event coordination
  • Travel/logistics experience a plus
  • Bachelor's degree in a relevant discipline
  • Ability to travel for offsite convenings
  • Understanding of event planning such as budgets, venue sourcing, and other logistics
  • Proficiency in Microsoft Office Suite, and skill in using CRM applications
  • Strong interpersonal and communication skills
  • Superb organizational skills
  • Exceptional verbal and writing skills, with the ability to write clearly and concisely
  • Ability to think critically and strategically to problem-solve, and apply sound judgment and decision-making
  • Ability and willingness to contribute to other projects of varying size, scope, and complexity
  • Experience working in a collaborative, team-oriented, highly productive environment
  • Ability to multitask and manage multiple project timelines and deliverables

Salary Range: Commensurate with experience.
